Carbon Accounting Software: How Scope 1, 2 and 3 Emissions Are Actually Tracked

Carbon accounting sounds like a measurement problem. In practice, Scope 1 and 2 are a straightforward arithmetic exercise and Scope 3 is a data acquisition problem spanning organisations you do not control. Since Scope 3 is typically the majority of a company's footprint, most of the difficulty in carbon accounting software sits in the part that is hardest to get right.

Scope 1 and 2: Mostly Solved Arithmetic

Scope 1 is direct emissions from sources you own or control — diesel in company vehicles, gas burned on site, refrigerant leakage, process emissions. Scope 2 is indirect emissions from energy you purchase, overwhelmingly electricity. Both reduce to the same calculation: multiply an activity quantity by an emission factor.

The engineering effort here is not in the calculation, it is in getting activity data in reliably and consistently. Fuel purchase records, electricity bills across multiple facilities, and meter readings need to arrive on a dependable cycle in a consistent format. Where software adds value is automating that ingestion — pulling from utility portals, connecting to ERP procurement records, integrating IoT metering — rather than depending on someone assembling a spreadsheet each quarter.

• Fuel consumption for owned vehicles and on-site combustion, typically from procurement records

• Market-based versus location-based Scope 2 accounting where you procure renewable energy, since these produce different numbers and both may need reporting

Scope 3: Where It Actually Gets Difficult

Scope 3 spans fifteen defined categories covering your upstream and downstream value chain. For most organisations it represents the large majority of total emissions. It is also the part where the data belongs to somebody else.

Carbon accounting software handles this through two approaches, and understanding the difference matters because they answer different questions.

1. 1Spend-based estimation — multiply procurement spend in a category by an industry average emission factor per unit of currency. Easy to implement because you already have spend data, and it produces a complete inventory quickly. The weakness is that it cannot distinguish a low-carbon supplier from a high-carbon one, and reducing emissions shows up only if you spend less. Efficiency improvements are invisible.
2. 2Supplier-specific data — collect actual emissions figures from individual suppliers. Considerably more accurate and it responds to genuine improvement, but it depends on supplier capability and willingness, and most suppliers cannot currently provide audited figures.
3. 3Hybrid, which is what mature implementations converge on — supplier-specific data for the highest-impact suppliers representing the bulk of spend, spend-based estimation for the long tail.

• Treating it as a reporting exercise rather than a data pipeline — the reporting is easy once data flows reliably, and impossible when it does not
• No clear ownership, so activity data collection depends on individual goodwill across facilities and lapses under pressure
• Emission factors hardcoded rather than versioned, which makes prior-year restatement impossible and undermines assurance
• Skipping the audit trail, which is exactly what an assurance provider will ask for first
• Building only for current disclosure requirements, when the direction of travel is clearly towards broader coverage and assurance
